How to manage admin users and roles

Everyone who creates an account on your site has a user record, with login and roles, and a customer record, with orders, payments and addresses. Your staff are simply customers with roles added, so they can order lunch like anyone else and still run the kitchen.

Creating an account for someone

Ask them to create an account on the site, or create one under Customers > New.

Assigning roles

Open the person under Customers > Lookup / Manage, then under User Roles click Edit Roles. Tick the roles and save. The person is signed out and back in with the new access.

Who can assign what:

  • An owner can assign every role, including manager and owner.
  • A manager can assign accounting, support, staff, admin, driver and prep. Only an owner can hand out the manager and owner roles.
  • To change the roles of someone who already holds manager, you need manager or above. For someone who holds owner, you need owner.

The roles

  • Owner: everything, plus assigning the manager and owner roles.
  • Manager: everything, plus your Eat Fresh plan and billing.
  • Accounting: all reports and exports, including financial data.
  • Support: customer data and account assistance.
  • Staff: menus, meals, recipes and site content.
  • Admin: view-only access to the admin, without some sensitive data.
  • Driver: delivery views and reports.
  • Prep: kitchen views and reports.

Give the lowest role that covers the job. A driver does not need to see payments, and a support agent does not need to edit menus.

Keywords: staff account, employee, permissions, team member
