Your reports: a tour of the Reports page
Your orders tell you what to cook, what to buy, where to drive and what you earned. The Reports page in the sidebar turns them into all of that. This is a tour of what is there and when to reach for each one.
Start here: Orders by Menu
Most weeks start with Orders by Menu, in the Order Reports box. Pick a menu, then pick a schedule (or all of them). The page shows the menu's totals up top: orders, locations and items, then what was paid next to the full value and the discounts, credits and gift cards used, with a Data current as of line and a Refresh now link. Below that are the reports for that menu:
- Totals Report. Every meal with its count, plus each option and each combination of options. This is your production list. Filter it by location, and print it.
- Orders Report. Every order, one card each, with packing slips. See How to print orders, packing slips and labels.
- Daily Prep Report. Item counts per delivery day, for menus that run across more than one week.
- Grocery List Report. Ingredient totals for that menu's orders, built from your recipes. Each meal inside a package counts, and an ingredient used in several recipes adds up into one line, with units converted where they can be. See How to create meal recipes. Needs the Grocery List feature.
- Labels Report. Labels by menu or by meal for every order. Needs the Order Labels feature.
- Delivery Confirmation. Orders by location and customer, and the "your order is on the way" messages. See Delivery confirmation.
- Comparison Report. Checks the Totals Report against the Orders Report line by line and explains any expected differences. Needs the Totals vs Orders Comparison Report feature.
The Totals, Grocery List and Comparison reports have an Include Plan Pending Orders switch, so you can plan for plan renewals before they finalize. See Pending orders.
Features are listed on the Features page.
Menu Report Exports
At the bottom of the same page, one click downloads a CSV for that menu:
- Meal Totals
- Discount Uses, itemized or aggregate
- First Time Orders, to welcome new customers
- Order Counts by Customer
- Credit Uses, itemized or aggregate, on sites with customer credits
- Optimo Delivery, on sites with home delivery. See Delivery reporting
- Plan Orders and Meal Plan Pending Order Totals, on sites with meal plans
Sorting and printing
The Orders report sorts by Order Date, Customer or Location. Once the report has run, Print gives you a clean paper copy.
Delivery Reports
Delivery Confirmation and Monthly Sales & Tax by Delivery. More in Delivery reporting.
Monthly Reports: for you and your accountant
- Monthly Sales & Tax. Month by month: orders, cart total, discounts, subtotal, fees, tax, what customers paid with credits and with gift cards, gross and net sales, and net paid, with the prior year's totals. A Definitions table explains every column.
- Monthly Sales & Tax by Delivery. The same, split into delivery and pickup.
- Monthly Sales & Tax by Location. Orders, items, sales, credits, gift cards and tax for each location and county.
All-Time Reports
- All-Time Meal Totals. Every meal you have ever sold, with counts. Great for picking which favorites come back.
- All-Time Discount Use. Aggregate or itemized. See How to view discount usage.
- All-Time Gift Card Use. Aggregate, one row per card with its current balance, or itemized, one row per spend with its order and customer. Each spend shows whether it counted as a payment or, on older orders, as a discount. See Gift Cards page: find, change and track every gift card.
- Customer Order Counts. How many orders each customer has placed. Find your regulars and the ones to win back.
Other Reports
- Stored Value. Outstanding gift card and credit balances. See Stored value: gift card and credit balances, tax, and expiry.
Who can run what
Every admin role can open the report pages. Running a report and downloading an export needs the Accounting, Manager or Owner role. Discount use, gift card use and customer order counts also open to Support. A report you cannot run shows grayed out, and hovering it names the role it needs. Prep and driver logins get their own short list of kitchen and delivery reports.
